Introducing the different levels of access to a contact

Every user has 1 of 4 levels of access to each contact in your organisation.

  • Post Update Access

  • Profile Access

  • Headline Access

  • No Access

A user can have different levels of access to individual contacts

  • For example they can have Post Update Access to some projects and No Access to other contacts

  • They can even have different levels of access to contacts that are within the same project as them

What each level of access means

  • see the Complete Survey button on the Contact’s profile page

  • see the Build A Story section at the top of the Contact’s profile page (unless Build A Story has been disabled at the charity level)

  • see the beneficiary’s name while creating stories using the Quick Update popup

User can view the Contact’s profile page

User can see the Contact’s name , i.e.

  • on the Manage Contacts page

  • on the Project Page’s Contacts box

How to give a user access to several contacts at once

The fastest way to give a user access to several contacts at once is to add that user to a project.

  • When a user is added to a project, they by default receive Post Update Access to all the contacts within that project

  • If you want to then change a user’s access to individual contacts within that project, you can use the steps outlined below

How to set the Level of Access to a single contact

How to do it for several users at once, e.g. for Project Reporters, Project Analysts, Project Managers or Organisation Admins

  1. Access the Contact Profile Page of the contact you want to give a user access to

  2. Select the padlock icon in the top left corner of their Contact Profile Page

  3. You arrive on the Manage Access Popup for that contact

  4. There is a column for every project the contact is part of

  5. There are rows for each type of user

  6. Use the dropdown lists in each cell to set the Level of Access that you want that type of user to have to this contact

How to do it for an individual user

  1. Access the Contact Profile Page of the contact you want to give a user access to

  2. Select the padlock icon in the top left corner of their Contact Profile Page

  3. You arrive on the Manage Access Popup for that contact

  4. Type the email address or name of the user that you want to share this contact with

  5. As you type the user’s Name or Email Address, Makerble will search for users with that name. (You can only add users within your organisation. To add users outside your organisation, turn on External Sharing)

  6. Optionally add a message that your colleague will receive

  7. In the Post Updates dropdown list, choose the level of access you want to give the user

  8. In the Choose a project dropdown list, choose the project you want your colleague to be able to post updates within and see the updates relating to that contact from

  9. Press Save Changes

  10. The popup closes and your colleague will receive an email letting them know that they now have access to the contact
