Add them to events and these will automatically appear in their Google Calendar.

Creating one or more Contact Forms to register the details of

Their emergency contact (if appropriate)
Their next of kin (if appropriate)
Turning on the Waiting List for that project
Creating a Signup Page which uses those 3 forms and adds a person to the Waiting List of that project
Choose how you will do the assessment e.g. phone call, in-person visit
