What Audiences (formerly Role) are

  • Audiences are a way of categorising your contacts - they might look something like:

    • Advisor

    • Client

    • Participant

    • Tutor

    • Volunteer

How to use Contact Audience

Stay on top of the audiences you use

  • You can create as many audiences (formerly roles) as your organization needs.

See the audience(s) each contact has at a glance

  • You can see when a contact was assigned a Role (Now Audience) and when that Role (Now Audience) ended - open the Audiences (formerly Roles) tab within the Contacts App

Track the population size of each audience

  • You can report on the number of contacts that your organisation has in each Role (Now Audience) over time

Audience for Contacts

You have to be an Organisation Admin to create and edit Contact Audiences (formerly Roles) however any user can assign one of those Audiences (formerly Roles) to a Contact

How to create a new Role

Steps

  1. Go to the My Apps menu

  2. Select Contacts

  3. Go to the More Options menu on the Contacts page

  4. Select Contact roles

  5. From here you can create, edit and delete Contact Roles

  6. Now when you go to a Contact Profile page, you will see a box on the left side called Roles. From here you can give a contract one or more roles

  1. Go to the Contacts App

    1. Select My Apps

    2. Select Contacts

  2. Press the More Options button

  3. Select Contact roles

  4. You arrive on the Manage Roles for Contacts page

Assign a Role to a Contact

You can alternatively use an integration to give a contact a role

Steps

  1. Go to the Contact Profile Page of the contact you want to give a role to

  2. Scroll down to the Roles box that appears on the left side

  3. Press the Add button within the Roles box

  4. The Roles box expands to display the Select Contact role dropdown list where you can choose a Role to give the contact

  5. You must add a Start date to the role

  6. Adding an End date is optional

  7. Press Save

  8. The box updates with the details of the Role you gave the contact

Edit a role that has been assigned to a contact

  • A contact can have many Roles

  • You cannot edit a contact’s Role Assignment but you can delete one and then add a new one

Steps to delete a contact’s Role Assignment

  1. Go to the Contact Profile Page of the contact you want to give a role to

  2. Scroll down to the Roles box that appears on the left side

  3. Press the Delete button next to the Role Assignment you want to edit

  4. Once the Role Assignment has been deleted, you can create it again with the correct start date, end date or role
