You can send messages in bulk to your contacts. These are called Broadcasts.

  • Formats: via SMS or Email

  • You can choose whether the message is sent immediately or scheduled a specific time and date in the future

  • Messages sent will appear in your Conversation with that contact

Steps

You must first turn on SMS Messaging or Email Messaging before you can broadcast a message to contacts

  1. Press Create in the top menu

  2. A dropdown menu appears

  3. Select Broadcast

  4. You arrive on the New Broadcast page

  5. In the Recipient category dropdown list:

    1. select Organisation Contacts to send the message to every contact within your organisation

    2. select Project Contacts to send the message every contact within a single project

    3. select Event Guests to send the message to guests of a single event (Note: you can alternatively message guests of a single event directly from an Event page - follow these steps to do that.)

  6. If you chose

    1. Project Contacts: the Set of recipients dropdown list will update to let you choose one of your projects

    2. Event Guests: the Set of recipients dropdown list will update to let you choose one of your events

  7. In the Choose a format dropdown list: select SMS or Email

  8. If you select Email you will be prompted to add a subject line to the email

  9. In the Contacts box you will see a list of contacts for whom you have contact details that match the format you’ve chosen.

    1. If you are sending an SMS: the Contacts box will only display contacts that have a Mobile Number

    2. If you are sending an Email: the Contacts box will only display contacts that have an Email Address

  10. Next to the Contacts section is a filter section. This lets you filter the contacts shown in the box according to the state that they are in. By default this is set to Enrolled however you can put your mouse in the box to choose alternative or additional states to filter the contacts shown by

  11. Choose when you want your message to be sent: there are two options:

    1. Now (the default choice)

    2. Later

  12. To schedule your message to be sent in the future, select Later

  13. Select the Date & Time field to launch the Scheduler

  14. Set the Date and Time in 3 clicks:

    1. Click 1: choose the date

    2. Click 2: choose the hour

    3. Click 3: choose the specific time (you can pick from 5 minute increments of the hour)

  15. Press Save. If the message is set to Now it will be sent immediately, if it set to Later it will be sent at the scheduled time.
