Design the Workflows per User Group

By designing your Workflows per User Group you will:

  • Enable managers to see, discuss and agree the ways you’re intending to use your new platform

  • Reduce the time you need to spend training your users

  • Provide your users with a helpful resource that they can return to once they start using Makerble

What are User Groups?

  • Your user groups are the sets of people with a login to your platform

  • In many organisations the user groups broadly split into

    • Managers

    • Administrators

    • Frontline Workers

    • Fundraising / Development

    • Communications

  • In your Blueprints: create a column for each User Group

What are Workflows?

  • Your workflows are the sequences of actions that your users do on your platform

  • For example

    • How to process an inbound referral

    • How to record attendance

    • How to set up a report for a new funder or stakeholder 

  • In your Blueprints: create a row for each Workflow

Record each workflow

  • Use a screen recorder (for example www.loom.com which is free to use and/or www.scribehow.com) to record yourself doing each workflow from the perspective of the User Groups that need to do it. Tips:

    • Talk through what you are doing

    • Keep each video short and focused on a single workflow

  • In your Blueprints: add the link to that video or scribe in the cell(s) for that workflow for that user group
