Sharing: usage, delegation, ownership and privacy of outcomes and progress trackers

When you create/edit an outcome or progress tracker, you can set the following:

  • who owns it

  • who else can see/use it

  • and who has editorial control.

What this article covers

The key terms to become familiar with

  • Owner - the organisation or user that owns the metric (we recommend setting your Organisation as the owner)

  • Editorial Control - determines which user(s) have permission to edit it;

  • Visibility - when Hide from other Organisations is ticked, it means that this metric is only visible within your organisation. If you untick it, it means that other organisations can use this metric (although they will not be able to see your results and you will not be able to see theirs)

Ways to use an outcome or progress tracker

We use the term metric as a catch-all term for outcomes and progress trackers

You don’t need to own a metric to be able to use it. Here are the ways you can use a metric:

See the metrics used by your organisation

  • The Metrics app shows you the outcomes and progress trackers being used across your organisation.

Delegate a metric

  • Once a metric has been added to a project, you can optionally delegate it to specific project colleagues. This lets you determine which project colleagues have permission to

    • record progress towards the metric on this specific project

    • view the progress that’s been recorded towards this metric on this specific project

  • Find out more: assign Project Metrics (Outcomes and Progress Trackers) to control whether certain Outcomes and Progress Trackers are visible to other people.

Edit a metric

Change the owner of a metric

  • If you have permission to edit a metric, you can change its owner.

  • Go to the Edit Metric page and change the owner in the Owner field.
