Send SMS to Co-workers/Colleagues via automation

This guide walks you through enabling organisation-wide SMS messaging, composing SMS content, configuring message delivery in automations, and accessing the Control Panel.

Prerequisites

  • You have access to the application’s Settings and Organisation Settings.

  • Your account has permission to use the Control Panel (via the More menu).

  • You will have to create an event and add the coworkers to that event as Event worker or Event manager.

1) Enable organisation-wide SMS to coworkers

Use this entry point to reach administration areas quickly.

  • Open the left sidebar menu.

  • Click on Settings and in the sub menu click on Templates.

  • Within Templates submenu, click on Organisation settings.

  • Check if Enable SMS to coworkers is ticked. If not, then enable it.

Once enabled, your teams can receive SMS through configured automations without additional per-user toggles.

2) Creating an automation to send SMS to users/co-workers

  1. Go to Create an automation page.

    Note: There are only two criteria that allows you to send SMS to users. i.e. “User is added to event as a event worker” and “User is added to event as a event manager”.

  2. Select any one of the criteria in the IF dropdown.

  3. Under Automation Actions section, click on Messages tab. Now you can see Send SMS to users checkbox is enabled and clickable. Tick this checkbox.

  4. Type the message within the SMS text box that appears on the page after you tick the “Send SMS to users” checkbox.

  5. Click on the Save button to create the automation. Once the automation is triggered, the identified users/co-workers will receive the message.

With SMS delivery enabled and message text configured, the automation will send the SMS when the selected event-role condition is met.

Best practices

  • Keep messages short (160 characters or fewer) to avoid multipart SMS and unexpected costs.

  • Use consistent naming for automations so admins can find and audit them easily.

  • Test automations with a small internal group (e.g., [Add QA Lead]) before broad rollout.

Troubleshooting

  • SMS option missing in MESSAGES tab: Confirm Enable SMS to coworkers is checked in Organisation Settings.

  • Automation doesn’t fire: Verify the event-role criterion matches the actual assignment (worker vs manager).

  • No recipients receive SMS: Ensure users have valid phone numbers and that delivery is set to Send SMS to Users in Automation Actions.
