Build 1C: Create Contacts

In this task you will need to create two Contact Forms (in the back-end these are called Beneficiary Categories). These will be the Registration Forms for the beneficiaries of the two projects you came up with in exercise 1A.

Steps to create your Contact Forms

  1. Go to the My Apps button in the top menu

  2. Select the Contact Forms button

  3. Click Edit next to the Contact Form called "Contact"

  4. In the AVAILABLE FIELDS column on the left, select the fields you want to add to your form (make sure you select some LIST fields like Gender, Ethnicity, etc; as well as some text fields)

  5. If the field you want to add does not already exist, you can create a new field by clicking the CREATE NEW FIELD button

  6. Once you have added your fields they appear in the right column

  7. Use the toggle to set some of the fields as mandatory

  8. Press Save

 

Steps to assign your Contact Form(s) to Projects

  1. Go to your My Apps button in the top menu

  2. Put your mouseover the Projects app

  3. You'll see a list of the projects you have created

  4. Do mouseover on one of the projects

  5. You'll see a side menu appear that has an option called Preferences

  6. Select that and you'll be taken to that Project's Preferences page

  7. In the Contact Forms section: type in the name of the Contact Form(s) that you have created and which you want to be used when creating new Contacts within this project

  8. Press Save

Steps to create your beneficiaries

In this next stage, create five beneficiaries (beneficiaries is the back-end term for "Contacts") for each of your projects. Make up names for them and choose a variety of demographic fields for them so you have a diverse set of beneficiaries. (This will make the filtering exercises later easier)

  1. Make sure you have permission to create Contacts: go to your organisation's Control Panel (click More in top menu, select Control Panel), then scroll down to Preferences. And make sure that it is ticked to YES for Organisation Admins being able to create a contact. press save.

  2. Click CREATE in the top menu, select Contact.

  3. You will be prompted to select a Project to add the Contact to

  4. If there are multiple Contact Forms assigned to that project, you will be prompted to choose which Contact Form to use while creating that Contact

  5. Create a contact. Make up a name and populate the other fields on the form

  6. Press Save. You will be taken to the Contact Profile Page for that contact (beneficiary) you have created.

  7. When you create your next beneficiary, press the SAVE AND ADD ANOTHER button to be taken directly to the New Contact page after creating the first contact.

  8. Now go to the SPLITS tab on the Manage Contacts page. It will display charts for each of the Demographic Fields you are using that are based on Lists. There will be pie chart segments (or bar chart bars) for each item within the list of that Demographic Field. It shows you the number of beneficiaries that have each of the characteristics in your Demographic Fields.

  9. Create a screenshot of your SPLITS tab (the whole page) and paste it into this trello card as a comment
