The Contacts option only appears in the Messaging App once your organisation has turned on SMS Messaging and/or Email Messaging

Steps

  1. Select the envelope icon in the top menu to access the Messaging App

  2. You arrive in the Messaging App

  3. Below the “Messages” title, select the Contacts tab (rather than the Colleagues tab)

  4. You arrive in the SMS Conversations tab

  5. Select the Broadcasts tab

  6. You arrive in the Broadcasts tab

  7. Click the New Broadcast button

  8. In the Recipient category dropdown list:

    1. select Organisation Contacts if you want to bulk message every contact within your organisation

    2. select Project Contacts if you want to bulk message every contact within a single project

    3. select Event Guests if you want to bulk message the guests of a single event (Note: you can also bulk message guests of a single event directly from an Event page. Follow the steps.)

  9. If you chose Project Contacts, the Set of recipients dropdown list updates to let you choose one of your projects

  10. If you chose Event Guests, the Set of recipients dropdown list updates to let you choose one of your events

  11. In the Choose a format dropdown list: select SMS or Email

  12. If you select Email you will be prompted to add a subject line to the email

  13. In the Contacts box you will see a list of contacts for whom you have contact details that match the format you’ve chosen.

    1. If you are sending an SMS: the Contacts box will only display contacts that have a Mobile Number

    2. If you are sending an Email: the Contacts box will only display contacts that have an Email Address

  14. Next to the Contacts section is a filter section. This lets you filter the contacts shown in the box according to the state that they are in. By default this is set to Enrolled however you can put your mouse in the box to choose alternative or additional states to filter the contacts shown by

  15. Choose when you want your message to be sent: there are two options:

    1. Now (the default choice)

    2. Later

  16. To schedule your message to be sent in the future, select Later

  17. Select the Date & Time field to launch the Scheduler

  18. Set the Date and Time in 3 clicks:

    1. Click 1: choose the date

    2. Click 2: choose the hour

    3. Click 3: choose the specific time (you can pick from 5 minute increments of the hour)

  19. Press Save. If the message is set to Now it will be sent immediately, if it set to Later it will be sent at the scheduled time.
